Project Manager - Higher Education

Job Description

The Higher Education (HE) Project Manager is responsible for developing and maintaining, in conjunction with the Project Director, the design, planning and implementation of educational publishing (digital and print) and educational technology (SAAS and product) projects. The HE Project Manager ensures that all aspects of the project are delivered on time and on budget, and to the highest standard of quality. He or she is also responsible for managing project team members (Six Red Marbles employees, contractors, and consultants), allocating and utilizing resources in an efficient manner, and maintaining a cooperative, motivated, and successful team.

Job Responsibilities

Project Planning

  • Lead the design, planning and implementation of the project from beginning to end.
  • Consult with clients on their technology course needs and provide digital solutions.
  • Consult with client IT/System Admin on their technology requirements and setup.
  • In collaboration with the Project Director, facilitate the definition of project scope, project goals, deliverables definition/identification, level of effort including risk assessment, scheduling strategies, resource and staffing strategies, budgeting, change management strategies, communication planning, and acceptance criteria, both internally and with clients
  • Follow pre-defined project management methodology for planning, tracking, reporting, quality management, and communication.

Resourcing

  • In collaboration with the Project Director and relevant functional-area Director(s), evaluate work breakdown structure to estimate effort and time required to complete each task. Communicate agreed-upon time-on-task metrics to project team members and track internal hours spent against the project budget.
  • In collaboration with the Project Director and relevant functional-area Director(s), assemble and coordinate internal project staff.
  • In collaboration with the Project Director, determine whether external consultants or contractors will be required to complete the project. If required, and in consultation with the relevant functional-area Director(s), establish requirements to aid the Talent Director in recruiting the necessary outside resources.
  • Contract and actively manage freelance resources, including approving, and tracking of assignments, deadlines, and invoices.

Budgeting, Forecasting, and Reporting

  • Develop and maintain the project budget.
  • Accurately track project expenses against project budget and forecast remaining expenses to determine potential overages. Collaborate with Project Director and relevant functional-area Director(s) to strategize prevention and/or mitigation of overages.
  • Report regularly to Project Director and other stakeholders on project milestones, project financial status, and other reporting needs as determined at project initiation.
  • Effectively manage project scope, minimizing changes by ensuring any changes to scope are documented, communicated to the client, and managed and approved through the change management process.

Leadership and Communication

  • Serve as the primary contact all project communication, internally with the project team and externally with the client
  • Anticipate, identify, and document issues and problems on the project; Collaborate with the team and with the Project Director and relevant functional-area Director(s) to troubleshoot and resolve issues and problems throughout the project life cycle.
  • Proactively lead, coach, and motivate project team across all disciplines
  • Determine criteria/rubrics by which project results will be measured and complete a post-project evaluation to determine how well results were achieved.
  • Provide regular, thorough reports to the Project Director and other key stakeholders on key project issues, risks, and benefits (stakeholders as defined by the RACI, created during project planning phase).
  • Communicate project status to the client and internal project team on a regular basis, specific intervals defined during project planning stage and as needed to meet client requests.
  • Keep Project Director and internal stakeholders apprised of any risks to the project schedule, budget, or deliverables as soon as they become apparent. Collaborate with Project Director to communicate risks and/or issues and their resulting solution to the client.
  • Hold regular internal and client status meetings as necessary. Set meeting agenda and circulate minutes/notes following every meeting. Keep all meeting participants focused and on task to maximize efficiency.


Desired Skills and Experience

  • Must be well organized, detail oriented, highly analytical and possess strong problem-solving skills; able to manage several projects simultaneously
  • 2+ years of experience developing and managing higher education digital development projects required.
  • Strong command of issues surrounding development of digital product preferred.
  • Basic knowledge and proficiency in delivery of product on all relevant higher education standard technology platforms.
  • Understand how content interoperates with major Learning Management Systems
  • Excellent customer service skills and strong interpersonal and communications skills (verbal and written) across all levels, internally and with clients
  • Proven ability to effectively manage internal and external teams
  • Demonstrated ability to perform well under pressure; self-disciplined
  • Proven experience of project management processes and methodologies, tools, and infrastructure
  • Experience working with cross-functional teams/matrix management
  • Must be able to enforce deadlines in a fast-paced, deadline driven environment
  • Proficient in Windows environment, including MS Word, Excel, and PowerPoint
  • Knowledge of the higher education or publishing industries
  • Experience in Agile Methodology a plus
  • 2+ years of budgeting, forecasting, and overall financial management experience required.
  • Bachelor’s degree required
  • 4+ years of project management experience required
